What is PhoneLog? (PLOGTSR.EXE)
The PhoneLog program, PlogTSR.exe, is a 22K terminate and stay resident
program which, when activated with <Alt-1>, will popup a notepad at the
top of the screen to allow you to enter notes of phone conversations. What
makes this product unique is that it has a built in timer <F4> which not
only saves your notes, but also saves the time the note was started,
stopped, and time elapsed. (Pops up over text applications only. If you
are in Windows(tm), you may hotkey to a text screen and then pop it up.)
What ELSE is PhoneLog? (PLOGRPT.EXE)
The PhoneLog program, PlogRpt.exe, is a stand alone report generator
designed for the file created by the TSR program mentioned above. With the
report writer, you can print any number of different reports showing total
time, average time, number of calls; and over any time range and any
subset of customers. This provides you with detailed phone usage for time
billing purposes. Along with the reports, the program produces 2 type of
graphs which show trends of your phone usage such as busiest versus
lightest calling times. The report writer can also be configured to run
within a batch file for unattended operation, as well as create comma
delimited export files for importing into spreadsheets and word
processors.
What else is available? (The only 2 things we charge for...)
As a companion product to PhoneLog, two types of switches are available
from EKWebb which are connected to your phone and plugged into your GAME
port. The switch will signal PhoneLog to begin the timer when the phone is
lifted from the cradle. When the phone is hung back up, PhoneLog will
automatically popup the note pad window. Although the switches are not
necesssary, they certainly add convenience to the product's use.
Registration is free and technical support is available for a small fee.

INSTALLATION: *-*-> THE PRODUCT MUST BE INSTALLED IN C:\PLOG <-*-*
1) COPYING THE SOFTWARE: Create a subdirectory called C:\PLOG on the C:
drive and copy all the files on the PhoneLog Installation Disk to that
directory.
(Insert the PhoneLog disk in the A: drive and then enter the
following.)

2) SETTING UP THE SOFTWARE. Enter the following at C:\PLOG>
PLOGRPT
When the PhoneLog screen comes up, press <Ctrl-S> for setup. The
<Alt-H>elp key is available for each option. It explains how the TSR is
added to your autoexec.bat file. Press <F10> to save the configuration.
3) When you reboot your system you should see:

*) SETTING UP THE OPTIONAL SWITCH: Connect the switch to your phone and
plug the game port adapter plug into your game port adapter. Now test
the PhoneLog switch by entering:
PLOGRPT TEST (Used only if you are using the switch.)
You should be able to lift the receiver from the hook and it will show
OFF HOOK and hang it up and it will show ON HOOK.
4) Your system is now set up to record your notes on your calls.
The PLogTSR.exe will run in your autoexec.bat file so that the system will
always be active. The PhoneLog system setup <Ctrl-S> on the main PLogRpt
screen will change your autoexec.bat file to include the correct command
line. When changes are made to PhoneLog which will affect your
autoexec.bat file, the original line in autoexec.bat will be commented out
and the new line inserted. You must reboot to activate the changes.
Press <Alt-1> at any time to popup the note window to add an additional
note. Press <F4> to start the timer with the amount of time since the
window was popped up and <F5> to add minutes. When the note is saved with
<F1>, the timer stops.
If the optional switch is being used, when you answer a call or make a
call, your PC will be aware of the phone receiver being lifted from the
cradle. Although nothing will appear to happen on your PC, the PC will
begin a timer. When you finish the call and hang up the phone, the popup
notepad will appear on the screen.
On some systems, the first time the notepad is popped up after rebooting,
the elapsed time will initially show the time since booting instead of
zero. Press <F10> and then <Alt-1> to reset it to zero.

In the above example, the phone call took 4 minutes, 2 seconds and
PhoneLog is asking for an explanation. If you type anything in and press
<F1>, Phone Log will save that in a file called, PLogRpt.doc. The

The records in this file are sequential, random length records with each
record ending in cr/lf as the last two bytes of each record. This makes
the file easy to view or change with any text editor. In DOS 5.0 you can
use the EDIT command to change it. Earlier versions use EDLIN or any text
editor.
ENTERING YOUR MESSAGE:
There is no fixed set of rules for entering notes in your message area,
but the following are some suggestions which might prove helpful. Once the
note has been saved, the only way to change it would be actually changing
the PlogRpt.doc file with a text editor like EDIT.
PhoneLog allows you to use a code for inbound or outbound calls. It also
allows you to use account numbers of any length. The system will install
with the default of a 3 character account code and a 1 character INOUT
code.
Here at EKWebb we use a three character account code. Some people need 5
or 8 spaces for accounts. At present, the system does not recognize the
Bell System Service, CallerID; but if you want to enter their phone number
each time you make a note, you could use an 8 or 12 character account
length.
From the main screen enter <Ctrl-U>ser offset changes to show the
following screen. You have complete flexibility as to how long and where
you enter either your INOUT code or ACCOUNT numbers.

│Don't let this confuse you. Use PhoneLog for a few days, try out a few │
│reports and decide the easiest format for entering your notes. Then come │
│back here. With PhoneLog you have the option of using ACCOUNT codes and │
│INOUT codes for inbound and outbound calls. To tell Phonelog you would │
│like to use the INOUT code, put an 'I' on the line below where you always │
│put your 'I' or 'O' for inbound or outbound calls. To use ACCOUNT codes, │
│just put a string of A's where you will always put your account numbers in│
│your notes. When the system is installed, it defaults to using INOUT as │
│the first character in your note, skips a space and an ACCOUNT code of 3 │
│characters comes next. The NOTES are shown with a single 'N' since the │
│note field will begin with an 'N' and include the rest of the entire │
│record. For example... │

│effect on your actual notes, it only tells the report writer where to look│

Next...
Decide upon a set of abbreviations to enter indicating the type of call
made such as the following: (This is optional)
:TS - Tech Support \ This scheme may be more complicated than
:C0 - No Charge \ you wish to use. Many people just use a
:C1 - Charge rate 1 dollar sign to represent tech support calls.
:C2 - Charge rate 2 / Some people don't use anything and just do
:PS - Personal Call / reports of ALL calls by client.
The colons will help PhoneLog determine the difference between ':ts' and
the 'ts' in the note 'motor quits running'. This means that you will be
able to report on all total minutes of tech support by specifying the
string ':ts' to the report generator.
* Some function keys are active when entering notes. <F1> saves your note.
* <F4>toggles the time meter on and off. When the timer has been off and you
* toggle it back on, it recalculates the time from the beginning of the call
* to the present. If this gives the call too much or too little time, you
* can adjust the elapsed time with <F5> and <F6>. <F5>Add Time and
* <F6>Sub Time do just that. These two function keys add to the elapsed time
* or subtract from it. <F9> setup shows some of the information selected in
* the setup procedure. <F10> tells PhoneLog to ignore the note by not saving
* it.

PROBLEMS:
If you get the message 'C:\PLOG\PLOGRPT.DOC' no found, exiting...',
it just means that you are trying to run the report generator and
no phone messages have been saved yet. Press <Alt-1> and save a message,
then reenter PLOGRPT to start again.
If you experience problems with the PLOGTSR.EXE, try PLOGTSRX.EXE instead.
It has been designed to work somewhat more slowly, but will work on a
greater variety of compatible machines.

RUNNING REPORTS:
The system allows you to be very selective when generating reports.
For the purpose of illustration, let's assume you are a software
development and consulting group. The following examples assume you are
using the default 1 character inbound/outbound code and the 3 character
account code. Further let's assume you use the $ sign meaning a chargeable
call to a customer for consulting or technical support.

The screen above shows you some of the flexibility of the PhoneLog report
generator. The selections tell the report generator to only include calls
in June, only calls started between 8am and 5pm, only calls of 1 minute or
more, and only calls on Monday, Wednesday and Friday.
Here are the following different types of 'SELECTS':
RECORD will search entire record for the requested string of characters
DATE date of call
TIME time call began
ELAPSED length of call (calculated as endtime minus starttime)
WEEKDAY day of week (MON, TUE, WED, THU, FRI, SAT, SUN)
ACCOUNT ex: B will match BBA, BRG, BW
INOUT Normally you would enter I or O for inbound or outbound
NOTES will search only the note field for the requested characters
When the reports are run, there are 2 questions you are asked:
Use hide characters?
--------------------
If answered YES, this will chop off any note text beyond the hide
character, usually the ~. Use this feature if you may be sending the
report to a customer to document phone time but wish to keep some of
your notes confidential. Any notes you enter after the hide character
won't appear on the report.
Print end and elapsed time on report?
-------------------------------------
In most cases, you are more interested in total time for all calls on a
report and perhaps the start time of each call, so answer this NO. If
you would like the report to list the end and elapsed time for each
call, answer YES.
The following report is rather restrictive. We told it to use the hide
character and ignore all notes after the ~, but we also told it to print
the stop and elapsed time for each call.

Since the system may be run in batch mode, you could have this print each
Friday afternoon to show the week's phone usage.
Also, for more advanced use, multiple PLOGRPT.DOC files may be merged
together from several workstations for composite reports and graphs.

With very little study, these two graphs will give you a quick overview of
an activity period.

COMMAND LINE OPTIONS
PLOGRPT LIST Will NOT attempt to print reports but will attempt to
execute a program called LIST with the file which would
normally be printed. If you have Vernon Buerg's
LIST.COM on your path, try this option.
PLOGRPT TYPE Will NOT attempt to print reports but will attempt to
execute TYPE PLOGRPT.PRN | MORE when the report would
normally be printed. Use this if you don't have a list
program.
PLOGRPT OFFSETS Prints a list of file offsets within the system
parameter file. Use this option when writing your own
set of programs to manipulate the system .DEF file.
PLOGRPT TEST SOUND Will sound a dialtone when the phone is off the hook
during the test stage of the installation. If you can't
see the screen when the system switch is being tested,
enter PLOGRPT TEST SOUND and it will show the picture
of the receiver being off hook, but will also give an
audible tone. (Used with optional switch.)
PLOGRPT TEST Used when testing the optional switch on/off hook
during the initial installation.
PLOGRPT SHOWCOLORS Will show the color codes as you change them on the
main screen.
PLOGRPT BATCH Tells PlogRpt that the program is being run in a batch
file and that all normal prompts will use a default
value. To instruct the system to automatically do
specific options, see the following...
The following are used with the BATCH command.

GRAPH1 Tells PlogRpt that it is in BATCH mode and to print the first
graph after printing the report.
GRAPH2 Tells PlogRpt that it is in BATCH mode and to print the second
graph after printing the report.
NOREPORT Tells PlogRpt not to print the report. Perhaps use this when
the export data is all that is required.
HIDECHAR Tells PlogRpt to ignore all notes past the hidechar.
NOELAPSED Tells PLogRpt to print the report without showing the end time
of each call and the elapsed time of each call. The total time
for all calls will still be printed at the end of the report.
Note: Since the system saves the report selections everytime a report is
run, you can save the PLOGRPT.SEL file and rename it something
else. Then in a batch application, copy the file back to the
PLOGRPT.SEL file and run your batch stream. There is a key word
'TODAY' which can be used as the criteria for DATE. If your
selections always contain the word TODAY for the date, you can
easily create a daily call log report with a batch stream.
Example: PLOGRPT BATCH NOELAPSED GRAPH1
Will print the report without showing the end time and elapsed time
for each call and follow the report with printing the first graph.
The program will then return to the DOS prompt, or the next line in
your batch file.
